HyCargo Logistics (Pty) Ltd delivers innovative, green-focused transportation and cooling and storage facility management solutions across southern Africa. Our services range from refrigerated consumable and none-consumable to dangerous goods. In long-term, we aim to transition toward green energy-powered fleets. We’re building a logistics industry that’s not only efficient — but decarbonising supply chains that speaks to the 4th industrial revolution standards!

However, this industry like any other comes with data demands, be it for our customers, fleet tracking or staff! Therefore, we are committed to handle data according to best international regulations.

Data collected through contact forms

When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see, edit and delete that information.

Fleet Tracking and Telematics Data

HyCargo Logistics utilizes GPS tracking and telematics systems across its fleet to ensure efficient routing, cargo safety, delivery status transparency, and operational optimization. These systems may collect:

  • Real-time geolocation of vehicles
  • Speed and route information
  • Engine diagnostics and fuel usage
  • Temperature logs for refrigerated cargo
  • Driver behavior (e.g., braking, acceleration, idling)

This data is processed solely for operational, safety, and compliance purposes. Access is restricted to HyCargo’s authorized personnel and trusted service providers under strict data agreements.

Third-Party Logistics and Technology Providers

To deliver reliable services, HyCargo engages third-party logistics and fleet management software providers. These partners may process operational data under contract for the following purposes:

  • Delivery performance analytics
  • Cargo condition monitoring
  • Secure vehicle communications

All vendors are required to adhere to international data protection standards, such as GDPR or equivalent frameworks, and are contractually prohibited from using your data for unrelated purposes.

Customer Access to Shipment Data

Customers may be granted limited access to shipment tracking data, including real-time vehicle location, estimated time of arrival (ETA), and delivery confirmation. Such access:

  • Is restricted to the customer’s own consignments
  • Is temporary and session-based or login-secured
  • Must not be redistributed or shared without authorization

Data Retention for Fleet Logs and Delivery Record

HyCargo retains fleet logs, route histories, delivery confirmations, and cargo telemetry for up to 5 years, unless legal or regulatory obligations require longer/shorter retention.

All retention periods are reviewed periodically. Data is securely deleted once no longer required.

Data Security Measures

We use encrypted transmission protocols and multi-level access controls to protect sensitive logistics and fleet data. Only personnel with specific operational roles can access telematics systems.

Incident monitoring, regular audits, and vendor oversight ensure ongoing compliance.

Staff and Driver Data Notice

HyCargo informs all fleet operators and staff that operational data (e.g., GPS logs, delivery time logs, vehicle usage) may be collected and processed strictly for performance, safety, and legal compliance.

Such data is not used for profiling beyond operational requirements and is handled transparently.

Cross-Border Data Transfers

HyCargo Logistics operates across several countries in Southern Africa. Accordingly, some operational or customer data may be processed or transmitted across national borders.

Where such transfers occur:

  • Data remains protected under contractual and technical safeguards
  • Vendors and cloud services must meet data protection standards applicable in Namibia, SADC and the EU (GDPR)
  • Customers are clearly informed when data hosting involves foreign jurisdictions and their consent is mandatory.
